SteelSight Acceptable Use Policy
Introduction
This Acceptable Use Policy ("Policy") governs your conduct when using the SteelSight mobile application ("App") provided by SteelSight Systems ("we," "our," or "us"). This Policy supplements our Terms of Service and applies to all users of the App.
By using the App, you agree to comply with this Policy. Violation may result in suspension or termination of your account by us or by your Company administrator. Severe violations — particularly those involving falsification of safety-critical records — may also be reported to the Company's safety leadership or, where appropriate, to regulators.
1. Permitted Uses
The App is designed for professional use by equipment operators, safety inspectors, fleet supervisors, and maintenance staff. Permitted uses include:
- Completing pre-use, periodic, and equipment-specific inspection checklists in good faith and based on actual inspection of the equipment
- Recording maintenance work, operator complaints, and equipment events with accurate timestamps and details
- Managing equipment records (make, model, serial number, certification dates) for equipment your Company owns or controls
- Attaching photos and documentation that genuinely depict the equipment, defect, or document being inspected
- Exporting inspection records and reports for legitimate compliance, audit, or recordkeeping purposes
- Reviewing audit logs to investigate incidents or verify the integrity of records
2. Prohibited Conduct
You agree NOT to use the App to:
Record Falsification (Safety-Critical)
- Mark inspection items as passed without actually performing the inspection
- Backdate inspection records to appear timely
- Submit photos of one piece of equipment as if they were of another
- Edit or fabricate inspection results to mask defects or non-compliance
- Use another user's account to certify inspections in their name
- Falsify maintenance records, certifications, or expiry dates
- Manipulate or attempt to manipulate audit-log entries
Falsification of inspection records carries safety risk and may expose you, your Company, and us to regulatory action. We treat this as the most serious category of policy violation.
Multi-Tenant Misuse
- Attempt to access data belonging to a Company you are not an active member of
- Circumvent the App's per-Company isolation (RLS policies, signed URLs, per-Company databases)
- Extract Company data and share it with parties outside that Company without explicit Company-administrator authorization
- Use the App in a way that would mix one Company's data with another's
Harmful or Deceptive Behavior
- Harass, intimidate, or threaten other users
- Impersonate another person or Company
- Use another user's account without their authorization
- Upload or share content that is offensive, defamatory, or illegal
Technical Misuse
- Attempt to gain unauthorized access to our systems, databases, or other users' or Companies' accounts
- Interfere with or disrupt the App's functionality, servers, or sync infrastructure
- Use automated systems (bots, scrapers) to interact with the App
- Circumvent security measures, access controls, rate limits, or multi-tenant isolation
- Reverse engineer, decompile, or disassemble the App
3. Data Accuracy Responsibility
You are responsible for the accuracy of data you enter into the App. This includes:
- Inspection results: pass/fail determinations, observed defects, measurements, and photos should reflect what you actually observed during inspection
- Maintenance entries: work performed, parts replaced, dates, and labour hours should reflect what was actually done
- Equipment records: serial numbers, models, certification dates, and status should match the physical equipment
- Audit-log context: when prompted to describe why a record was edited or deleted, provide an accurate explanation
Inaccurate data entered into the App may pose direct safety risks to equipment operators, riggers, and bystanders. SteelSight Systems is not responsible for incidents or regulatory penalties resulting from inaccurate user-provided data, and your Company may pursue disciplinary or legal action for deliberate falsification.
4. Shared Content Obligations
When sharing content within or outside your Company:
- Share inspection records and equipment data only with individuals who have a legitimate professional need
- Do not share Company data with third parties without explicit Company-administrator authorization
- Understand that exported reports remain accurate as of their export timestamp — re-export when records change
- Respect the confidentiality of records you receive from other users within your Company
- Do not modify exported records and pass them off as authoritative App-generated documents
5. Account Security
You are responsible for maintaining the security of your account:
- Use a strong, unique password for your SteelSight account
- Enable biometric unlock (Face ID, Touch ID, or device equivalent) where available
- Do not share your account credentials with others — every inspection record is tied to the account that certified it
- Sign out of the App on shared or public devices
- Notify us at steelsightsupport@steelsightsystems.ca and your Company administrator immediately if you suspect unauthorized access
6. Intellectual Property
When using the App:
- Do not upload or share content that infringes on the intellectual property rights of others
- Do not reproduce, distribute, or create derivative works from the App's checklist templates, schemas, or UI designs
- Respect manufacturer trademarks when entering equipment information
7. Compliance with Laws
You agree to use the App in compliance with all applicable laws and regulations, including:
- Occupational health and safety laws (Alberta OHS Act + Code, federal Canada Labour Code Part II, and equivalent legislation in your jurisdiction)
- Privacy and data-protection laws (PIPEDA, Alberta PIPA, and equivalents)
- Industry standards (ASME B30, CSA Z150, CSA Z248, manufacturer specifications)
- Export-control and sanctions regulations
8. Reporting Violations
If you become aware of a violation of this Policy — particularly inspection-record falsification or unauthorized access to another Company's data — please report it to:

- Subject line: "Acceptable Use Policy Violation"
Include as much detail as possible. Reports will be handled confidentially to the extent possible. We do not retaliate against good-faith reporters.
9. Enforcement and Consequences
Violations of this Policy may result in, at our sole discretion or at your Company administrator's request:
- Warning: a notice of the violation and a request to cease the prohibited conduct
- Temporary suspension: restriction of access to some or all App features
- Permanent termination: deletion of your account and revocation of your license
- Audit-log flagging: violations are recorded in the Company audit log for review
- Legal or regulatory referral: for safety-critical falsification, we may refer matters to the Company's safety leadership or applicable regulators
We will make reasonable efforts to notify you of enforcement actions, but reserve the right to act immediately without notice in cases involving safety risks, security threats, or illegal activity.
Repeated or severe violations may result in immediate termination without prior warning.
10. Changes to This Policy
We may update this Policy periodically. We will notify you of material changes via the App or email. Continued use after changes constitutes acceptance of the updated Policy.
